[HYBRID] Executive Assistant Description

Our client, a well-established company with a national presence, is looking for an Executive Assistant to support their CFO in Harrisburg, PA. About 70% of your time will focus on traditional administrative support, working closely with the CFO and Finance leadership team, while the remaining 30% will support Board and Investor Relations activities. While you’ll work closely with Finance, this is not a financial analysis role, and you do not need a finance background to be successful. The focus is on coordination, organization, communication, and keeping things moving behind the scenes.

This is a role where judgment, resourcefulness, and the ability to stay one step ahead will matter just as much as traditional administrative experience. The CFO’s priorities can shift quickly, so we’re looking for someone who can think on their feet, navigate competing requests, and figure things out without needing every detail spelled out. You’ll need to be comfortable representing him to others, knowing when to push back, and using good judgment to manage his time effectively. Personality is important here, too. The CFO values open communication and wants someone who can build a strong working relationship with him and develop a natural shorthand over time. We’re looking for someone polished and professional, but also personable, confident, and, of course, someone with a good sense of humor.

[HYBRID] Executive Assistant Responsibilities

•    Provide proactive executive support to the CFO, including calendar and meeting management
•    Manage competing priorities, resolve scheduling conflicts, and protect the CFO’s time
•    Serve as a trusted point of contact for internal and external stakeholders
•    Coordinate business travel, accommodations, transportation, and related logistics
•    Prepare and organize correspondence, presentations, reports, and confidential materials
•    Coordinate Board meetings, materials, schedules, and related logistics
•    Support Investor Relations meetings, events, schedules, materials, and logistics
•    Compile and maintain investor, ownership, contact, meeting, and related information
•    Coordinate Finance team meetings, reports, expenses, documents, and administrative needs
•    Track commitments, deadlines, and follow-up while anticipating the CFO’s needs

[HYBRID] Executive Assistant Qualifications

•    3+ years of experience supporting senior executives in a fast-paced, complex environment 
•    Demonstrated experience across a wide range of administrative functions (e.g. calendar management, meeting coordination, preparation of reports, etc.)
•    Strong professionalism, polished communication, and a confident presence
•    Strong technical aptitude with the ability to quickly learn and navigate new systems
