Executive Assistant / Office Administrator – Tax & Accounting Services (exp. req.) Description

Our client in the professional services industry is looking for an Executive Assistant / Office Administrator to join their team near Rockville, MD. In this role, you will primarily support one firm partner and the client-service team, with backup support to leadership as needed. You will manage front-office operations, client communications, scheduling, document handling, and day-to-day office coordination in a fast-paced, deadline-driven environment. To be considered, you must have recent administrative or executive support experience in a CPA/public accounting, legal, consulting, financial advisory, or similar client-service-based professional services firm. This is a great opportunity for someone reliable, energetic, and organized to become the steady in-office support presence for the team.

Executive Assistant / Office Administrator – Tax & Accounting Services (exp. req.) Responsibilities

•    Serve as first point of contact for clients, visitors, and vendors
•    Manage front desk, reception, phones, mail, and daily office needs
•    Monitor partner email, flag priorities, and route requests
•    Manage calendars, meetings, appointments, and follow-ups
•    Support tax team with document intake, tracking, and organization
•    Prepare client packets, forms, mailings, labels, and materials
•    Coordinate vendors, deliveries, supplies, and office maintenance
•    Keep reception, conference rooms, and shared office areas presentable
•    Track deadlines, projects, and workflow during peak tax periods
•    Maintain confidentiality with client and firm information

Executive Assistant / Office Administrator – Tax & Accounting Services (exp. req.) Qualifications

•    5+ years of administrative or executive support experience required
•    Recent professional services (e.g., CPA, legal, consulting, financial advisory) experience required
•    Proficiency with Microsoft Office Suite required
•    Strong written and verbal communication skills required
•    Strong organization, accuracy, and follow-through required
•    Reliable, punctual, and comfortable working fully on-site required
•    Ability to work up to 60 hrs/week, including weekends, during 6-week peak season required
